Camp Process Guide

Camp Process:

1. Gather at Vengurla Market by 3:30 PM:

  • Clients assemble at the designated meeting point at Vengurla Market.

2. Briefing and Buy Necessary Items from the Market:

  • Conduct a briefing session to provide necessary information and instructions to clients.
  • Guide clients in purchasing any required items from the market for the camp. 

3. Introduce the Group to our Local Host over Chai Session:

  • Create a welcoming and friendly atmosphere by introducing clients to the local host.
  • Organize a chai session where clients can relax, interact, and get to know each other.

4. Responsibility and Process:

  • Clearly communicate client responsibilities in an encouraging and friendly manner, emphasizing safety and adherence to camp guidelines.
  • Explain the camp process, including activities, timings, and expectations.

5. Plan Camp Activities Based on Interest:

  • Assess the interests and preferences of the group to plan activities accordingly.
  • Consider options such as card games, outdoor games, or other recreational activities.

6. All Camp Material to be Placed on the Camp Bed and Carried to the Site:

  • All camp material to be placed on the camp bed and carried to the site by KTC Team. Material should be handed to the client only by camp coordinator, client should NOT be told to carry material to the site.

7. Coordinate Tent Pitching with Individual Attention:

  • Coordinate tent pitching, providing individual attention to ensure tents are set up properly.
  • Verify the cleanliness and functionality of each tent before providing it to the client for self-pitching.
  • Closely coordinate and help participants wherever possible.

8. Pre-heat BBQ after Tent Setup:

  • Once the tents are set up, pre-heat the BBQ grill for the evening BBQ session. Let the client explore till the BBQ is heated.
  • Ensure all BBQ equipment and utensils are clean and functional before introducing to client.
  • Show the client how to successfully BBQ & encourage participation.

9. Light a Campfire:

  • Set up a designated campfire area and light a campfire for clients to gather around.

10. Reserve One Bag for Waste:

  • Assign a specific bag for waste disposal and encourage clients to dispose of any garbage responsibly.

11. Keep Speakers & Other Equipment Inside the Team Tent:

  • To avoid dew damage, ensure that speakers and other equipment are kept inside the team tent overnight.
  • Take necessary precautions to protect electronic devices from moisture.

12. Fold Blankets and Rug, and Keep on Camp Bed:

  • Guide clients to fold blankets and the rug and place them neatly on the camp bed after waking up.
  • Encourage the group to maintain cleanliness and organization within the campsite.

13. Keep the Tents in the Sun until Breakfast:

  • After waking up, keep the tents exposed to the sun until breakfast or until they are completely dry.
  • This helps prevent moisture buildup and keeps the tents clean and ready for packing.

14. Un-pitch and Pack Tents:

  • Coordinate the un-pitching and packing of tents, ensuring all components are accounted for and packed securely.
  • Follow proper tent dismantling procedures to avoid damage.

15. Account for All Activity and Camp Material:

  • Conduct a thorough check using a checklist to ensure all activity and camp material is accounted for.
  • Gather and pack all items in the designated pick-up vehicle.

16. Leave No Trace:

  • Before leaving the campsite, conduct a final inspection to ensure the area is free of garbage or any waste.
  • Leave the campsite as clean or cleaner than it was found, respecting the environment and minimizing the impact.
  • Thank the host and depart.

BBQ Setup

Here’s a pointwise guide for setting up a BBQ:

1. Choose a suitable location: Select a safe and well-ventilated area as shown in above picture. Ensure it is away from flammable objects and has enough space for grilling and socializing.

2. Gather necessary equipment and supplies: Prepare all the required equipment and supplies for your BBQ setup, including a grill, charcoal, grilling utensils, plates, cutlery, tissue, and any additional items you may need.

3. Clean and prepare the grill: Before starting the BBQ, clean the grill grates thoroughly to remove any residue from previous use. 

4. Arrange seating and dining area: Set up tables, chairs, and a designated dining area for the client. 

5. Create a food preparation area: Designate a separate area for food preparation, away from the hot grill. Set up a table as shown in above image where you can comfortably handle raw and cooked food, tools, and ingredients.

6. Prepare the BBQ fuel: Use sand layer as base and place charcoal layer on top of it.

7. Preheat the grill: Pre-heat the charcoal for minimum 30 mins. Allow the charcoal to fully ignite and turn into glowing embers.

8. Marinate and prepare the food: While the grill is preheating, marinate or season the food you will be cooking. Prepare any marinades, sauces, or rubs in advance and let the flavors develop. Ensure that the food is properly thawed if using frozen items.

9. Organize the food for grilling: Group the food items according to their cooking times and requirements. For example, place vegetables that require less cooking time separately from meats that need more time on the grill. Vegetarians might need a different grill.

10. Start grilling: Carefully place the food on the preheated grill, using tongs or spatulas to handle the items. Cook each item to the desired level of doneness, flipping or turning them as necessary. Follow recommended cooking times and temperatures for different foods.

11. Serve and enjoy: Once the food is cooked, transfer it to clean plates or platters. Set up a buffet-style serving area or bring the food directly to the dining area. Provide serving utensils and condiments for guests to help themselves.

12. Enjoy the company: Finally, relax and enjoy the company of your guests while savoring the delicious BBQ meal you’ve prepared!

Remember to always prioritize safety during the BBQ setup, including proper handling of hot surfaces and following food safety guidelines.

Best Practices, Do's & Dont's
  • Avoid rushing clients during the camp process, allowing them adequate time to enjoy each experience.
  • Don’t overlook cleanliness when handing over materials to clients; double-check for cleanliness and hygiene.
  • Avoid starting the trail activity too close to sunset, ensuring clients have enough time to enjoy the surroundings.
  • Don’t pack wet tents; ensure they are dry before packing them to prevent moisture buildup.
  • Report any loss or damage to the material immediately. Camp coordinator is responsible for all material at campsite.
  • Don’t leave the campfire unattended and ensure it is properly extinguished before leaving the site.
